Version 2026-07-02. Plain-English, because that is also a legal requirement when data about children is involved.
Who we are
Integral Minds Mathematics Education(“Integral Minds”, “we”) provides mathematics tuition and related educational services. We are the data controller for the personal data described here. Contact: hello@integralminds.co.uk.
What we collect and why
- Enquiries and consultations— names, contact details, the student's level and goals. Legal basis: legitimate interest in responding to your enquiry, and consent where you tick the consent box.
- Clients — session records, tutor notes, progress and assessment data, and billing records. Legal basis: performance of our contract with you, and legal obligation for financial records.
- Bookings — if you book a call via our scheduling provider (Calendly), they process your name, email and chosen time under their own privacy policy, and share the booking with us.
Children's data
Most of our students are under 18, and we design for that rather than around it:
- We collect the minimum necessary about a student, and prefer contracting and communicating with a parent or guardian.
- Parents and guardians of students under 18 have visibility of their child's progress records, session notes, and our communications with the student — by design, as a safeguarding measure.
- Where a service requires a child's own consent and the child is under 13, we obtain it from a parent or guardian instead.
Where data lives
Our systems store data in the United Kingdom (London region) with our database provider, Supabase. Payments are processed by Stripe; we never see or store card numbers. Email is delivered by our email provider. Each provider acts as our processor under UK GDPR terms.
How long we keep it
- Enquiries that don't become clients: deleted or anonymised after 12 months of inactivity.
- Client records: kept for the duration of tuition plus 24 months, except financial records, which UK law requires us to keep for 6 years.
Your rights
You can ask us for a copy of your data, ask us to correct or delete it, object to processing, or withdraw consent at any time — email hello@integralminds.co.uk. For a child, the request can be made by a parent or guardian. You can also complain to the Information Commissioner's Office (ico.org.uk).
Cookies & analytics
The public site sets no advertising cookies. Signing in to the client portal uses strictly necessary session cookies only.
Changes
We version this policy (see the version date above) and record which version you consented to. Material changes will be communicated to active clients directly.
